Client Safety And Participation Policy

My aim is to provide safe, supportive, and enjoyable Pilates and dance fitness classes for everyone. Clear guidelines help ensure a positive experience and protect the wellbeing of all participants. To do this, the following policies apply to all clients.

 

1. Duty of Care & Scope of Practice

  • I have a professional duty of care to all participants.

  • Classes are taught within my training, qualifications, and insurance requirements.

  • I respect advice given by doctors and physiotherapists; however, this advice does not replace my responsibility to work within my own scope of practice and insurance when teaching group classes.

  • Group pilates classes differ from 1:1 clinical sessions, and not all movements are suitable or safe in a group pilates setting. This may mean exercises need to be modified.

2. Injuries, Medical Conditions & Modifications

  • Clients are asked to inform me of any injuries, medical conditions, or changes to their health prior to the start of each session.

  • Where appropriate, in pilates classes, I will offer modifications or alternative movements to support safety. For some conditions (including but not limited to conditions like hypermobility or osteoporosis), certain modifications are essential. Participation in class is conditional on following these required modifications.

  • Safety of the participant is always kept in mind and I may need to limit or discontinue participation if the client is at the risk of injury.

3. Class Environment & Reasonable Adjustments

  • I aim to create a welcoming and inclusive environment.

  • Where possible, reasonable adjustments may be made by an individual.

  • Adjustments must not compromise safety, significantly disrupt the class, or place unreasonable demands on the instructor.

4. Payment & Booking Policy

  • Accepted payment methods are made in advance. 

  • For security and administrative reasons, only the listed payment methods can be accepted.​

  • I am unable to refund once a block of classes has been paid for.  If you are unable to attend your regular class, you may do a 'catch-up' class within the timeframe of the block as long as their is availability.

 

5. Late Arrival Policy

  • To maintain safety and adequate supervision, clients are asked to arrive on time. If new to the class you are required to arrive 10 to 15 minutes early.

  • Late arrival may limit my ability to observe movement patterns, discuss health considerations, or provide appropriate modifications.

  • I reserve the right to refuse entry to a class if a late arrival would compromise safety to a participant or disrupt the class.

  • Clients who arrive late and are permitted to join the class do so with the understanding that individual guidance may be limited.

  • Late Arrival At The Hockley Centre, Poynton:
    The main door is secured at the start of class for security purposes ( if you are inside, you are able to open it and leave). Late arrivals should use the back stairs to enter. The stairway and decking leading to the back stairs may be slippy, particularly in wet conditions. Please take care. Arrival via this route is at your own risk. The instructor is not responsible for accidents occurring on venue access areas.

 

6. Health Questionnaire & Ongoing Disclosure

  • All clients must complete a health questionnaire before attending their first class and update them at the request of the instructor.

  • It is the client’s responsibility to provide accurate and complete information.

  • Ongoing or newly noticed symptoms must be disclosed as soon as possible.

  • If additional information is required for safe participation and is not provided, participation may be limited or postponed until clarification is received

7. Communication

  • To keep communication clear and manageable, I respond to client messages via email at amanda@amandaholding.com only. This ensures that I don’t miss important information and can provide a safe and reliable service. Please do not contact me via Facebook, WhatsApp, text, or other messaging platforms.

  • If you need to reschedule or cancel a Pilates class, please use the Pilates Catch-Up Board app provided. If you are unable to find a suitable class, keep checking back as spaces may become available. 

  • Email is also the best way to share any health updates or questions about participation.
